Preparing your Team for a successful photoshoot

You are ready to update your team headshots— now what? You know the benefits of having an updated consistent look for your team. You want your website to look great, you want to have professional images to share externally when your company or team does amazing, and you want to finally have your brand look across all of your team’s headshot. Ok…. now let’s plan.

There are a couple of ways to approach your teams’ headshots and each of them depends on how you are going to use them. Before we get into the use of your team headshots, let’s talk about the general look. Every company is going to approach the “look” of their headshots based on the “feel” of their brand. For example, a coffee house wanting headshots of their baristas would “feel” more approachable and appropriate if they are maybe taken in a more relaxed causal setting. If we put them in a suit and tie—- well that might feel weird and not align with their brand. That being said, a law firm typically does headshots in power suits, but if your brand of law or your law firm’s personality is more relaxed and approachable — maybe we create a more inviting and casual appeal through your headshot.

Headshots don’t have to be a certain look— they need to look and feel like your brand.

Ways to approach the look of your headshots.

Some company’s have obvious hierarchy from C suite management to entry level team members. You could decided to approach the look and feel of the CEO differently than other staff for example. This might depend on how you see using your headshots. Maybe a more “lifestyle” office shot is more useful than a standard head and shoulders shot— or maybe you need both. If you plan on sending out communication to the company from the CEO— a welcoming “lifestyle” image would feel more inviting then the standard headshot.

The other thing to consider is how are images going to be displayed. If they are all going to the same page maybe you want to ask staff to wear all solids, or no tie, or dark jackets…. Or going to back to our coffee house example maybe you want them all wearing their team apron with their favorite mug and hot drink. This way you can create a consistent easy to read look.

If you plan on using headshots for both internal and external uses maybe you opt to do two headshots per person— a formal and less formal shot.

Your small business needs to have team headshots. These headshots are easy to book and this is the most cost efficient way to update your headshots. Another option is to book a refresh session to potentially grab individual headshot and a team shot depending on your team size.

How to Prepare for your On location Headshot Session.

For larger groups we can come onsite and create custom proposals based on your teams needs. Need multiple headshots of each person, need both formal and lifestyle shots, need custom stock of your space… we can help with that! Here are a couple of ways to make your shoot go smoothly.

  • We like to have a list of names of your team prior to starting. This helps us organize your shoot making it easy for you to use your files when you are ready!

  • Typically when we arrive at your location we need to have a space to set up. This space doesn’t have to be oversized nor does it need to have windows. But we will need to be able to set up a backdrop and lighting, so the space does need to offer some open floor space.

  • We typically give each staff member 10-15 minutes each for their headshots and preview the shots for the client so we know they are happy with their headshot. This is also a great amount of time if you decide you need multiple looks.

  • Some companies with multiple locations have headshot guidelines regarding lighting, background color, and the crop of the headshot. If you have any guidelines please share prior to our arrival so we can make sure to bring the right set up.

  • In addition to headshots, if we are also doing “lifestyle” looks we will need to schedule more time for those individual appointments because we will potentially being moving lights and gear to each space. We also want to spend a bit more time getting the posing and look just right.

  • We know it is tough to get every team member in the office on one day so we typically like to schedule two days for larger teams (25+) to make sure we have the opportunity to get them all! Depending on the size, this might be two 1/2 days or on full day and a second 1/2 day.
